Robert Half Legal Secretary in Westfield, Indiana

Description We are in search of a detail-oriented Legal Secretary to join our team in Westfield, Indiana. The role involves maintaining internal dockets of litigation and HR related cases, creating and organizing legal files, conducting legal research, and interfacing with various entities such as outside counsel, facility leadership, and insurance companies. This role offers a contract to hire employment opportunity.

Responsibilities:

• Maintain detailed records of litigation and HR related cases in various stages.

• Create and organize legal files, communication and pleading panels.

• Conduct legal research on specific issues as assigned using resources such as periodicals, law publications, public records, and offices.

• Draft legal documents for filing with appropriate entities and correspondences.

• Proofread contracts and other sensitive documents for accuracy and clarity.

• Collaboratively work with outside counsel to coordinate status reports and facilitate discovery and other requests.

• Interface with facility leadership to coordinate requested discovery and other documents.

• Liaise with insurance companies to ensure necessary reporting and tracking.

• Manage the workflow of requested projects.

• Organize and prioritize large volumes of information in both electronic and manual filing systems.

• Manage calendars, emails, travel arrangements and expenses.

• Perform additional support tasks such as coordinating meetings, preparing documents, taking notes/meeting minutes, sending meeting reminders/responses, creating, and maintaining files or file systems.

• Communicate with executive level personnel, customers, and vendors.

• Provide backup support for Executive Assistant and Receptionist as needed. Requirements • Proficiency in Aderant, Adobe Acrobat, Automated City Register Information System (ACRIS), Case Management Software, and CompuLaw.

• Experience in executing billing functions and managing calendars effectively.

• Strong skills in maintaining client relations and understanding consumer electronics.

• Familiarity with court proceedings and healthcare administration.

• Ability to manage healthcare effectively.

• Excellent written and verbal communication skills.

• Detail-oriented with strong organizational skills.

• Ability to multitask and prioritize work as needed.

• Knowledgeable in legal terminology and procedures.

• Ability to maintain confidentiality of sensitive information.

• Proficient in MS Office Suite.

• Ability to work independently and as part of a team.
