LittleStar ABA Therapy Waiver Services Coordinator in West Lafayette, Indiana

The Waiver Service Coordinator is responsible for assisting the Waiver Services Manager in coordinating Waiver Services at LittleStar. This includes tracking billing, monitoring session notes, scheduling, and creating documents that coincide with the individual PCISP's.

Essential Duties and Responsibilities

• Tracks all client billing for waiver services offered through LittleStar.

• Assists the Waiver Services Manager to ensure all client files are up to date with state paperwork.

• Works collaboratively with other members of individual’s treatment team and family. Publishes schedules for all Direct Support Professionals, at request of Waiver Services Manager.

• Remains “on call” to assist Direct Support Professionals with any emergency situations that may arise after regular business hours, on PRN basis.

• Monitors the number of hours used versus hours available for all client contracts and takes necessary steps to ensure the client does not exceed contracted hours.

• Ensures all monthly and quarterly reports are completed in compliance with state requirements. • Creates data sheets as needed.

• Ensures compliance with all relevant state standards.

• Completes tasks assigned by Waiver Services Director.

• Attends and participates in parent/client meetings, team meetings, DSP meetings, training and other meetings as requested by the Waiver Services Director.

• Creates and maintains Waiver Services home binders, including up to date PCISP’s, consents, and goal tracking information.

• Reviews session notes and tracks relevant goal information. 

• Conducts new hire orientation for Direct Support Staff as requested by the Waiver Services Manager.

• Provides and maintains an environment free of emotional, physical, and sexual abuse. Reports any incidents or suspicions to a director immediately.

• Maintains client and family confidentiality per LS policy and HIPAA Privacy Rule Regulations.

• Refers parent to appropriate staff member with regards to non-respite related questions. • Completes and submits required documentation in a timely manner.

• Communicates with the Waiver Services Director regarding all developments, problems, or concerns as needed and requests feedback.

• Responds appropriately and professionally to feedback.

• Respects the property of LittleStar and the family.

• Acts as a positive role model for all staff, families and learners working with LS.

• Works to positively impact team spirit and overall morale.

• Maintains professional relationship with parents and other family members.

• Adheres to all LS policies and procedures.

• Performs other duties as assigned by the Waiver Services Director or members of the Executive or Clinical teams.

Conditions of Employment

• Must successfully pass the initial and updated criminal history, background, and record checks, which includes driving history checks.

• Must wear appropriate Personal Protective Equipment (PPE), as provided by LittleStar, where physical distance cannot be attained as needed.

Required Educational Qualifications and Skills

• High School Diploma required with a minimum of 2 years’ experience in ABA, Waiver Services or other related experience.

• Strong attention to detail for data collection and report writing.

• Ability to train others (parents, staff) in the core competencies of person-centered planning, curriculum, programs, etc.

• Highly adept Microsoft Word and Excel.

• Possess and maintain a clear criminal record per Medicaid Waiver regulation requirements.

• Maintain a valid Indiana driver's license, full-coverage insurance on personal vehicle, and maintain insurability as defined by the agency liability insurance carrier. Must possess and maintain reliable transportation that meets state requirements for transporting persons served.

•Impeccable interpersonal communication; good judgment and creative thinking skills; Ability to develop and maintain relationships as well as communicate appropriately given the circumstances of the situation and individuals involved.

• Discretion in matters that need to remain private.

Supervisory Responsibilities

This position assists the Waiver Services Manager in overseeing any staff within the Waiver Services Department and is responsible for interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Work Environment

Position operates in a professional office environment. This role routinely uses standard office and audiovisual equipment. This position is eligible for telecommuting up to 60%, with 40% being scheduled in the office.
