Description

We are seeking a highly skilled and experienced Senior Administrative Assistant to provide comprehensive administrative support to an executive team. The Senior Administrative Assistant will play a crucial role in managing schedules, coordinating meetings, and handling a variety of administrative tasks with professionalism and efficiency. This long-term contract/contract-to-hire opportunity is based in the Indianapolis, Indiana area!

Key Responsibilities:

  • Managing complex calendars and scheduling appointments, meetings, and travel arrangements for executives.

  • Coordinating and preparing materials for meetings, conferences, and presentations.

  • Serving as the primary point of contact for internal and external stakeholders, including screening and directing phone calls and emails.

  • Drafting, editing, and proofreading correspondence, reports, and other documents.

  • Conducting research and compiling data to support decision-making and project management.

  • Managing confidential and sensitive information with discretion and professionalism.

  • Assisting with project coordination, including tracking deadlines, milestones, and deliverables.

  • Handling expense reporting, invoice processing, and budget tracking.

  • Providing administrative support to other team members and departments as needed.

  • Identifying opportunities to streamline processes and improve administrative efficiency.

    Requirements

  • Bachelor's degree or equivalent qualification.

  • Proven experience as an administrative assistant or executive assistant, preferably supporting senior-level executives.

  • Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.

  • Strong attention to detail and accuracy in all work.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office productivity software.

  • Exceptional written and verbal communication skills.

  • Ability to maintain professionalism and confidentiality at all times.

  • Strong interpersonal skills and the ability to interact effectively with individuals at all levels.

  • Problem-solving skills and the ability to anticipate needs and proactively address issues.

  • Flexibility to adapt to changing priorities and responsibilities.
