HERE’S WHAT YOU’LL GET TO DO

The position of Executive Assistant will report to our Midwest Regional President and provide diversified administrative support to other Executive team members located at the Indianapolis corporate office. This highly visible position offers a unique opportunity to interact with company executives from our Midwest region, North America and our parent company in Heidelberg, Germany. This position is generally varied, including complex administrative duties, and project-oriented assignments requiring the use of sound judgment and discretion, independent assessment, and resolution of complex situations/problems.

  • Manage Outlook accounts, calendars and schedule meetings/conference calls while demonstrating problem-solving abilities to adjust or prioritize schedules based on last-minute changes.

  • Plan, arrange and coordinate business meetings and events and be on-site as necessary (minimal travel required); manage promotional activities and events

  • Develop and maintain social media presence for Midwest Region.

  • Preparation and coordination of Executive Committee meetings.

  • Craft and edit PowerPoint Presentations.

  • Schedule domestic and international travel arrangements, completing detailed meeting and travel itineraries.

  • Prepare and submit accurate expense reports in a timely manner along with preparing invoices for processing. Coordinate accounts payable matters among various locations.

  • Review and edit documents for clarity and accuracy. Draft communication letters/correspondents.

  • Proactively develop relationships with key internal/external client contacts, gaining recognition as a team resource.

  • Use appropriate judgment and knowledge when sharing sensitive information.

  • Answer office calls to screen or resolve inquiries.

  • Perform duties to include but not limited to: photocopying, scanning, mailing, and filing.

  • Submit orders for office and kitchen supplies as needed.

  • Be the main interface with building management to address facility needs/issues.

  • Interface with all levels of the organization and with external customers in a professional and effective manner.

  • Performs other administrative support and special projects as assigned.

HERE’S WHAT WE’RE LOOKING FOR

  • Bachelor’s degree is preferred.

  • Minimum of 3+ years of related experience supporting a top-level Executive.Advanced MS Office skills (Excel, Word, PPT).

  • The successful candidate will be action oriented with a proven record of anticipating next steps with a solution mindset.

  • Duties require excellent professional verbal and written communication skills.

  • Visibility of work requires attention to detail, proactive follow-up, excellent organizational skills, and discretion with confidential information.

  • Demonstrated ability to keep sensitive matters confidential and understands the need for such confidentiality.

  • Able to manage workload in a fast-paced, high-intensity work environment.

  • Strong interpersonal, time-management, and problem-solving skills.

  • Ability to change focus of work seamlessly, without loss of efficiency, and adapt to unexpected requests while working with minimal supervision and exercising good judgement.

  • Strong sense of urgency, with outstanding prioritization skills and professionalism.

  • Flexible to work overtime as required.
