Description

We are offering an exciting opportunity for an Administrative Assistant in Indianapolis, Indiana, within a law firm environment. This role involves a variety of administrative tasks, including managing correspondence, scheduling appointments, and maintaining office organization.

Responsibilities:

• Accurately and efficiently process daily mail and handle copying, scanning, and filing tasks

• Manage inbound and outbound calls, ensuring clients and stakeholders receive prompt and professional service

• Schedule appointments and coordinate meetings, ensuring all details are accurately recorded and communicated

• Assist in setting up office spaces for meetings and events, ensuring all requirements are met

• Provide general administrative support as needed, showing a willingness to assist with various tasks

• Utilize Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word to manage data and correspondence

• Maintain a high level of professionalism in all interactions, demonstrating exemplary customer service skills

• Handle a high volume of tasks, showcasing your ability to multitask and work efficiently

• Collaborate with team members and other departments to ensure effective communication and seamless operations

• Show adaptability in the workplace, demonstrating the ability to pivot focus as required by changing needs and demands.

Requirements • Proven experience in an administrative assistance role or similar

• Proficient in Microsoft Office Suite including Word, Excel, Outlook, and PowerPoint

• Excellent skills in data entry

• Ability to handle inbound and outbound calls professionally

• Strong written and verbal communication skills for email correspondence

• Ability to schedule appointments and manage calendars effectively

• Detail-oriented with strong organizational skills

• Ability to multitask and prioritize tasks effectively

• Strong problem-solving skills and ability to make decisions independently

• Demonstrated ability to maintain confidentiality and handle sensitive information

• Strong time management skills with the ability to meet deadlines

• Ability to work well in a team environment and collaborate with various levels in the organization

• High level of professionalism and strong customer service skills.
